<p><strong>Reports to:</strong> Marketing Communications Manager<br /><strong>FLSA Status:</strong> Non-Exempt <br /><strong>Schedule:</strong> Core Hours: 9:00 a.m. – 5:30 p.m., Monday – Friday, unless otherwise approved; additional hours as required to fulfill responsibilities</p> <p><strong>GENERAL SUMMARY:</strong> Under the general supervision and direction of the Marketing Communications Manager, and working alongside other members of the communications team, the Communications Assistant is responsible for providing support for the firm’s public relations and communications efforts, including but not limited to supporting the firm’s responses to relevant external award, directory and submission opportunities, supporting internal and external communications functions and providing administrative-level support to the communications team. The Communications Assistant must be detail-oriented, possess an ability to prioritize multiple assignments at one time, and is expected to perform all responsibilities with a commitment to providing superior service to the firm’s clients, attorneys, advisors and staff, efficient and effective departmental operations, and an atmosphere of teamwork and continuous improvement. Above all, the Communications Assistant must fulfill the needs of the firm in a manner that is consistent with the Firm’s Core Values.</p> <p><strong>ESSENTIAL DUTIES AND RESPONSIBILITIES:</strong></p> <ul> <li>Monitor and track upcoming survey, ranking and submission opportunities, including maintaining a master calendar of all opportunities, updating as needed</li> <li>Assist the Marketing Communications Manager in developing internal communications to members of the Marketing team and others throughout the firm regarding submissions, rankings and award results </li> <li>Handle the data entry process of rankings and submissions into the Marketing department’s submissions database, including inputting:</li> </ul> <ol> <li>the firm’s historical rankings and awards</li> <li>the firm’s submissions to various publications including Law360, ALM publications and other relevant outlets</li> </ol> <ul> <li>Assist with updating and maintaining various internal documents and internal portal pages relating to awards and submissions Compile honoree lists as various directory listings are released; update lawyer and advisor website bios and other materials as appropriate</li> <li>Track and monitor peer firms for relevant submission opportunities</li> <li>Use the firm’s media monitoring platform and other tools to track daily firm media mentions and compile regular media reports</li> <li>Assist in the drafting of write-ups and summaries of awards, recognitions, firm news and media mentions for the internal portal (AGConnect), firm website and other communications vehicles as appropriate</li> <li>Assist in monitoring coverage in key outlets of peer firms and lawyers</li> <li>Assist in maintaining media outreach lists across various topics and industries via the firm’s reporter database platform</li> <li>Assist with the procurement of article reprints, including initial purchase, website posting and monitoring of expiration of rights</li> <li>Provide administrative support to the department</li> <li>Assist with additional projects and tasks as needed</li> </ul>

<p><strong>ESSENTIAL KNOWLEDGE, SKILLS AND COMPETENCIES:</strong></p> <ul> <li>Ability to read, write and speak English</li> <li>Detail- and process-oriented with strong organizational skills.</li> <li>Ability to prioritize and manage workload, work independently and as a member of teams, and complete multiple tasks under time pressure as necessary</li> <li>Excellent written and oral communication skills, including strong writing and editing skills</li> <li>Strong work ethic and service orientation</li> <li>Ability to read, comprehend and follow instructions</li> <li>Poise, tact and professionalism when interacting with internal and external contacts</li> <li>Commitment to maintaining confidentiality of client and office information and adhering to the Firm’s Core Values</li> <li>Strong computer skills including advanced knowledge of Microsoft Word, Outlook, Excel and web-based tools</li> <li>Commitment to professional growth and development</li> </ul> <p><strong>EDUCATIONAL QUALIFICATIONS/JOB EXPERIENCE REQUIREMENTS:</strong></p> <ul> <li>Undergraduate degree required, preferably in public relations, journalism, marketing, business or a communications-related field</li> <li>A minimum of two years of experience in a professional services capacity; prior experience in a communications or public relations capacity is preferred but not essential</li> </ul>
