<p>Assist with the logistical planning and execution of on and off-site events including Firm social events, attorney training, client seminars, attorney speaking engagements and panel discussions for the DC office and other branch offices. Gather on-site event set-up requests and confirm on-site event approvals. Reserve space for event and determine room arrangements. Interact with attorneys, outside clients and group contacts regarding meeting/event set-up and logistics. Coordinate set-up of audio/visual services, food services, event signage and building facilities. Provide assistance prior to start time and throughout event. Prepare and update special event requirement summaries and maintain events calendar. Print and assemble marketing packets (e.g., attorney bios, transaction lists, brochures). Assist with departmental marketing projects as needed for the DC office and other branch offices. Log various Firm tickets into spreadsheet; send regular communications to attorneys to encourage client development use; track requests; work with Manager to determine allocation, if necessary; distribute tickets with appropriate correspondence. Order food and beverages for all Verizon Center, Nationals Stadium, and Bank of America Stadium events, which clients and attorneys will attend. Coordinate all billing expenses for the department, including check requests, expense reports, and general invoices. Oversee food and beverage invoicing, tracking and reimbursements for outside not-for-profit groups, clients or vendors. Assist with off-site event set-ups to include registration, guest responses, door lists, name tags, etc. Maintain supply of standard marketing materials and re-order as needed. Update and maintain vendor contact database.</p>
